About Us :

We are looking for a highly organized and customer-oriented Service Coordinator to join our team and help us maintain the efficiency and quality of our service operations.

Primary Job Function :

As a Service Coordinator, your role is to ensure smooth scheduling and dispatch of our Service Technicians. You will be responsible for maintaining the daily schedules, coordinating service calls, and keeping the customer database updated with current information.

This position requires effective communication with customers, Service Technicians, and the Service Manager, ensuring clarity in scheduling and lead times.

Key Responsibilities :

• Schedule and dispatch Service Technicians as service calls are completed.
• Coordinate and schedule return trips with customers when parts arrive.
• Maintain the on-call schedule for Service Technicians.
• Communicate with customers regarding company schedules and lead times.
• Manage the dispatch board and forecast workload for 2-3 days ahead.
• Monitor and respond to customer calls, including overnight messages.
• Coordinate with Service Technicians for parts and maintenance agreements.
• Maintain customer database with up-to-date information.
• Conduct customer surveys and "happy calls."
• Support the Service Manager with marketing tasks as needed.

Required Qualifications :

• Advanced customer service skills.
• Ability to multi-task and stay organized.
• Strong communication and interpersonal skills.
• Basic geographical knowledge or map-reading skills.
• Computer skills, with proficiency in common software applications.
• Three years of related experience in customer service, dispatching, or project management.

Desired Qualifications :

• Knowledge of the HVAC industry is a plus.
• Working knowledge of iOS, Android, and Windows OS.
• 3 years of experience as an HVAC Dispatcher or 5 years of general dispatching experience.
